To attach a file from Google Drive in email messages, you can use the Google Drive add-on for Gmail. This add-on allows you to insert a link to your Google Drive file directly into your email message.
To use the Google Drive add-on, you first need to have both a Google Drive account and a Gmail account. You can then install the add-on from the Google Workspace Marketplace.
Once installed, the add-on will appear as a button in your Gmail compose window, allowing you to easily select and attach a file from your Google Drive account.
Getting Started
To get started with attaching a file from Google Drive, you'll need to have a Google account and a Google Drive account linked to it. Google Drive is a cloud storage service that allows you to store and access your files from anywhere.
First, make sure you have the Google Drive app installed on your device or access it through your web browser. This will allow you to navigate to your files easily.
Google Drive offers a generous amount of free storage space, up to 15 GB for personal accounts. This is more than enough for most users to store their files.
Next, locate the file you want to attach from your Google Drive account. You can do this by searching for the file name or browsing through your folders.
Attaching a File
Attaching a file from Google Drive is a breeze. You can do it by providing the full name of the file, and Document Studio will search for it in your Drive.
If you have multiple files with the same name, you can specify the folder path with the file name to attach a specific file inside a specific folder.
You can also attach a file by getting the link of the file from Google Drive and pasting it into the email message template using the Embed FILE formula.
Accessing Google Drive
To access Google Drive, simply go to drive.google.com in your web browser.
Google Drive is a cloud storage service that allows you to store and access your files from anywhere.
You can also access Google Drive through the Google Drive app on your mobile device.
You need to sign in with your Google account to access your Google Drive files.
If you have a Google account, you can simply sign in with your email and password.
Your Google account is the same one you use for other Google services like Gmail and Google Docs.
Once you're signed in, you'll see all your Google Drive files listed in the main window.
You can browse through your files by name, date, or folder, and even search for specific files.
Google Drive has a file size limit of 750 GB per file, but you can upload files up to 15 GB in a single upload.
Selecting a File
You can attach a file from Google Drive to your email message in several ways.
To attach a file by file name, simply provide the full name of the file in your Google Drive, and Document Studio will search for it and attach it to the email message if a matching file is found.
If you have multiple files with the same name, you can specify the folder path along with the file name to attach a specific file inside a specific folder.
To attach a file from Google Drive, you can right-click the file you need to attach, click the Get link item from the context menu, and copy the link of the file.
Alternative Method
You can also attach a file from Google Drive using the "Insert file" option. This method is a bit more straightforward than using the "Insert link" option.
To use the "Insert file" option, make sure you have the Google Drive file you want to attach open in a new tab. Then, click on the "Insert file" button in the toolbar.
You can also drag and drop the file from the Google Drive tab into the document. This method is especially useful if you have a lot of files to attach.
The "Insert file" option allows you to attach files up to 2 GB in size. This is a significant advantage over the "Insert link" option, which has a 100 MB file size limit.
