Having a well-organized OneDrive library can make a huge difference in your productivity and peace of mind. You can store up to 1 TB of files in OneDrive, which is equivalent to about 250,000 photos or 500 hours of music.
To access your OneDrive library, you can use the OneDrive app on your computer or mobile device. The app allows you to view your files, create new folders, and share files with others.
With OneDrive, you can also access your files from any device with an internet connection, making it easy to collaborate with others or access your files on the go.
Uploading Files to OneDrive
You can upload files to your OneDrive library by dragging and dropping them from File Explorer. This method works best with the new Microsoft Edge or Google Chrome browsers.
If you don't see the drag and drop option, you might need to update your copy of Office to the modern version. Alternatively, you can use the Upload command in other browsers.
To drag and drop files, follow these steps:
- Open the OneDrive library
- Open File Explorer
- Navigate to the folder with the documents you want to upload
- Drag and drop the files to the OneDrive library
- The library should display a highlight when you hover the file over it
- Your files should appear in the Document library
You can also upload files using the Upload command. This method is available in the top of the Documents library.
To upload files using the Upload command, follow these steps:
- Open the OneDrive library
- Select Upload at the top of the Documents library
- Select Choose Files to upload an individual file
- You may also be able to upload multiple files by holding down either the Ctrl or Shift key and selecting more than one file
- Select OK
File Management in OneDrive
File Management in OneDrive is a breeze. You can add a file to replace an existing file with a revised version of a file.
If your library is set up to track versions, the new file becomes the latest version, and the older file becomes part of the version history. This way, you can easily track the history of the file.
To make the most of this feature, consider typing comments about what changed in this version. This will help you and others quickly understand the changes made in each version.
Drag Files to SharePoint
If you're looking to drag files to your SharePoint library, you'll want to use the modern version of Office. This method works best with the new Microsoft Edge or Google Chrome browsers.
You can't drag and drop files if your browser isn't compatible, but you can use the Upload command as an alternative. If you don't see the option to drag and drop files, it's possible that you need to update your copy of Office.
To drag and drop files, follow these steps:
- Open the OneDrive or SharePoint site library.
- Open File Explorer.
- Navigate to the folder with the documents that you want to upload.
- Drag and drop the files to the SharePoint library. The library should display a highlight when you hover the file over it.
- You should see your files appear in the Document library.
Path and File Names
When uploading files and folders, be aware of the path and file name length. SharePoint in Microsoft 365 and OneDrive support up to 400 characters for the total file and path length.
Long paths can be a real challenge, especially when working with multiple nested folders. SharePoint Server versions, on the other hand, support up to 260 characters for the total file and path length.
Remember, exceeding these character limits can lead to upload failures or errors. For more information, see Restrictions and limitations in OneDrive and SharePoint.
Track File Versions
Track File Versions is a great feature in OneDrive, allowing you to keep a record of all changes made to a file. This is especially useful for collaboration and auditing purposes.
If you're working on a document and want to replace an existing file with a revised version, you can add the new file to the library. This will make it the latest version, and the older file will become part of the version history.
To make the most of version tracking, be sure to type comments about what changed in each version. This will help you and others easily track the history of the file.
Here are some key points to remember about version tracking:
- The older file is not deleted, but rather becomes part of the version history.
- Comments about changes made in each version are a great way to keep track of what's new and what's changed.
By using this feature, you can have a clear record of all changes made to a file, which can be very helpful in a variety of situations.
Preservation Hold Library
The Preservation Hold Library is a feature in OneDrive that preserves original copies of content before editing or deleting. It's a crucial part of data retention in SharePoint Online and OneDrive for Business.
To access the Preservation Hold Library, admins can visit a specific URL in SharePoint Online or OneDrive for Business, providing their domain credentials to navigate to the library.
The Preservation Hold Library is not a library meant to be accessible to users, but rather to site owners and admins. To delete files in the PHL, you first need to remove the retention policy or e-discovery hold applied to the respective files.
Retention policies can be used to retain content indefinitely, for a specific period, or to automatically delete it after a specified period. When a retention policy is applied to a SharePoint site, it will get applied to all libraries and lists, including site pages and site assets.
You can check how much storage is being consumed by the PHL by navigating to Site settings -> Site collection administration -> Storage metrics. This will help you monitor accidental uploads, duplicate copies, and other issues and delete them to free up space.
Connect to WordPress
To connect your WordPress site to OneDrive, you'll need a OneDrive account, which offers up to 5 GB of storage for free.
You'll also need a plugin to connect your media library to OneDrive, specifically the WP Media Folder plugin with its OneDrive addon.
This plugin will cost you $59 for the Plugin + Addon plan, which includes both the core plugin and the OneDrive add-on.
Once you have the plugin, you'll need to create a new folder in OneDrive and connect it to your WordPress site.
To do this, go to your WordPress dashboard settings and click on the "Connect OneDrive" button.
This will take you to a OneDrive authorization screen where you'll need to accept all the permissions that the app asks for.
After connecting your OneDrive account, you'll be able to insert images and other files straight from OneDrive into your WordPress content.
You'll still be able to access your regular media library, so you're not losing any functionality that you already had.
Security and Access
You can create a dedicated folder in your OneDrive account specifically for your WordPress site, and any folders you create in your WordPress dashboard will exist inside this one parent folder.
The plugin only syncs with files inside this folder, so you don't have to worry about it picking up other files on your OneDrive account.
To ensure your files are up to date, you can right-click on the OneDrive option in your WordPress dashboard and choose the option to Run full synchronization if you don't see files.
Generate API Key
To generate an API key, you'll need to create a Microsoft Azure App. Click this link to head to Azure and sign in using the same credentials that you use for OneDrive.
You'll be in the App registrations section, where you'll click the New registration button. Give it a name, like "WP Media Folder".
Next, enter the URL to your WordPress admin dashboard in the Redirect URI box. If you're using a personal OneDrive account, this will be something like "https://yoursite.com/wp-admin/".
Or, if you're using a OneDrive Business account, enter "https://yoursite.com/wp-admin/upload.php". This is a specific requirement for linking your WordPress site to your OneDrive account.
