Sharing and Permissions

Sharing and Permissions is a crucial aspect of using OneDrive. You can share folders with others by selecting the Shared link in the left panel, hovering over the desired folder, and selecting Add Shortcut to My files.

You have various sharing options to choose from, including Anyone with a link, People in the University of Kansas, People with existing access, and People you choose. Sharing Permissions Options

Sharing permissions options can be a bit overwhelming, but don't worry, I've got you covered. There are four main options to choose from: Anyone with a link, People in the University of Kansas, People with existing access, and People you choose.

The first option, Anyone with a link, gives access to anyone who receives the link, whether they receive it directly from you or forwarded from someone else. This may include people outside of KU. Only available on OneDrive by default, but it can be added to SharePoint by request.

People in the University of Kansas means anyone at KU who receives the link can open the file whether you send it or it was shared by others. This option is great for sharing with colleagues and classmates.

People with existing access can be opened by people who already have access to the document or folder. This option is useful when you want to share a file with a group of people who already have access to it.

People you choose gives access only to the people you specify. This option allows you to share with internal and external to KU. Even if people forward the sharing invitation, only the people you sent the file to will be able to open it.

Here's a quick rundown of the options:

To free up storage space in OneDrive, it's best to move or delete files and folders. You can list your largest files by opening OneDrive settings, selecting the Help & Settings icon, and then choosing Settings. This will open a webpage that lists your largest files, sorted by size.

If you've exceeded your OneDrive storage limit, your files are now read-only, and you can no longer upload new files. To resolve this, delete items and permanently remove them from the Recycle Bin.

Your files remain private when you move them to OneDrive, and you can stop sharing files with specific people at any time. This is especially useful for collaborative work, as it prevents unnecessary duplication of files.

You can check how much storage space you have and how much you use by going to the settings of your OneDrive. You can also do a full Restore of your OneDrive to reset it to a previous state.

If you need to retrieve an earlier version of a file, you can do so through the OneDrive settings. Note that if you have a Microsoft 365 Education A1 license, you may not be able to increase your storage limit, so it's best to discuss options with your local IT administrator.
